Rules and Regulations
1. The Clubhouse and Beach House in Pine Lake are maintained as a city service for the residents of Pine Lake. Residents receive a discount on rental, but must pay deposits. PROOF OF RESIDENCE IS REQUIRED.
2. In accordance with local government fire regulations, occupancy limits have been set for the safety of facility users. No more than 100 people may be in the Clubhouse at any one time, 60 people in the Beach House. Please note that parking is extremely limited.
3. SMOKING IS NOT PERMITTED IN THE PUBLIC BUILDINGS or within 25’ of the structure or anywhere on the beach. There are containers filled with sand for outside smoking.
4. Fires may not be lit at any time. This includes use of candles, which must be approved in advance with the application. (Fire extinguishers are located in the kitchens.)
5. Rentals are effective in designated time slots. No additional time will be allowed without additional fees imposed. Weekend rentals are from 8 am until 4pm and 4pm until 12pm (midnight). This includes decorating and cleanup.
6. Only masking or painters tape may be used on top of the window and door frames or on the porches, (nails, tacks, screws, staples, etc. can never be used). Improper use will be assessed as damages.
7. All evening functions at the public buildings must be over and the premises vacated by 12 PM, (midnight) except by prior arrangement with the City. All music with speaker units must stop at 11 PM, to comply with City noise ordinances.
8. Furnishings and equipment in the public buildings may only be used inside that building. The Clubhouse has 40 chairs and 6 tables; the Beach House has 40 chairs and 5 tables. Additional tables/chairs would have to be rented elsewhere.
9. Children must be supervised at all times. No one under the age of 21 is allowed to rent the public buildings. When minors under the age of 18 are attending a private function, the city requires 1 chaperone per 15 children/youth. Attendance by chaperone is required at all times.
10. Renters are responsible for the conduct of their guests while using the public buildings and the City assumes absolutely no liability for injury incurred during the course of this rental. A signed liability release form must accompany this signed rental form.
11. The public buildings must be left in the condition in which they were rented. All lights must be turned off. Thermostat set on 58 in the winter and 78 in the summer. ALL personal property should be removed when the premises are vacated. The City of Pine Lake is not responsible for any property left by renters. A walk-thru will be necessary to conclude transaction and receive deposit check.
12. If time allows, a signed copy of these Rules and Regulations must be returned within two weeks prior to date of rental, along with the rental fee and deposits, in order to confirm the booking.
13. Refunds due to cancellations will be issued in the following manner:
- In writing 30 days prior to event: 100% Refund, less non-refundable $25 processing fee
- In writing 29 – 8 days prior to event: 50% refund, less non-refundable $25 processing fee
- In writing 7 days or less: 0% refund
If cancellations and requests for refunds are not received in writing, no refunds will be issued. Refunds will be sent by mail within two weeks of request.
14. Public buildings are cleaned before each approved rental. If conditions are not clean, please notify City Hall (404-292-4250) at once. If damage is noted in advance of the event, please complete a Damage Report, and return to the City when returning keys. Renters must leave the building in a clean condition, or risk losing their deposit. Spills must be mopped up, and garbage/trash bagged and placed in garbage cans, and recycling (no glass) placed in the blue recycling bins.
15. The privilege of renting extends to the buildings and decks only. The park areas outside the buildings are public and cannot be rented.
16. A returnable damage deposit of $125 is required of all renters and be must be paid separate from all other fees. The renter shall be liable for all damages occurring during the agreed rental times, including:
a. If there is damage to the facility, furnishings, and/or grounds;
b. If the facilities, furnishings, and/or grounds are not left in a clean condition at conclusion of the rental period;
c. If any renter or invitee displays improper conduct including, but not limited to, abusive or threatening language, physical violence, lewd behavior, or possession of weapons.
17. No admission may be charged unless the renter has applied for and received a Special Use Permit from the City (Arts and Leisure). Voluntary donations may be accepted.
18. No one is allowed in or on the water after sundown.
19. Beach House rental includes the Deck area but does not include the bathroom with the outside entrance, while the beach is open.
20. Reservations must be made for the exclusive use of the Gazebo, although there is no fee.
I understand that my deposit will not be refunded if the above rules and other items in this Agreement are violated.
Damages in excess of the deposit will be billed directly to the renter.
City reserves the right to deny future use of any city building to any renter violating the terms of this agreement.
Pine Lake does not assume any liability for failure to adhere to these rules. Anyone breaking these rules will be subject to fines.

Special rates apply for rentals over several time frames, such as Friday night-Saturday night.
ALL Residents please write two checks payable to City of Pine Lake. (We will not accept cash.)

2. $125 damage deposit and key deposit (to be returned if building is undamaged and clean and key is returned)
Non-residents please write deposit check payable to City of Pine Lake. Rental fee must be paid in cash or credit card.
Some circumstances may allow for tighter time frames or additional fees on rentals as agreed by Pine Lake. These circumstances should be set and agreed upon at signing of this document.
All Special Use Classes, ongoing rentals, could be temporarily relocated to another of our facilities if need be.
